Accounts, Journals & Periods

Use these tools to review the accounting behind your day-to-day records and make accountant-led adjustments.

Chart of Accounts

The chart groups accounts into assets, liabilities, equity, revenue and expenses. Keep the default structure where it suits your business. An account's category and subcategory affect its reporting and where it is offered in entry forms.

Use Add money account for a bank or cash account, and Add account for other ledger accounts. Choose the correct currency when setting up an account. Ask your accountant before changing classifications on accounts already in use.

Review transactions and journals

View Transactions shows the account lines behind entries. View Journal Summary groups the records by journal, so you can inspect the whole entry. Date filters are useful for a reporting period; Entries Added helps find recent work even when it was dated earlier.

Posted journal entries are not edited in place. Review the full entry before deleting and recreating it, and use the original sales or purchase workflow where related documents are involved. Duplicate opens a manual journal based on an existing entry; check its date and amounts before saving.

Manual entries

Create Manual Entry is intended for adjustments such as those supplied by your accountant. Choose the date, description and accounts, then check that the displayed debits and credits balance. The sign of an amount affects the debit or credit according to the account type, so check those columns rather than assuming every positive amount is a debit.

A manual journal is a ledger entry. Use customer, vendor and payroll workflows when you also need their associated records updated. For a batch of balanced base-currency journals, see Journal Entry Import.

Write off a customer balance

Write Off Customer Balance clears a customer's balance up to a chosen date, using the selected write-off account. Review the calculated balance and refresh it if you change the date before confirming.

This creates both a customer adjustment and an accounting entry. It is useful for an agreed historical amount that will not be recovered or refunded. It differs from the Bad Debt assisted entry, which has no customer allocation. Transactions after the selected date can still leave a current customer balance.

Close and lock the books

Once a period has been checked, Close & Lock Books records the closing entry to retained earnings and locks dates on or before the selected closing date. Complete reconciliation and adjustments before closing.

View Periods lists the closed periods. Delete Last Period, under Unlock Last Period, reopens the latest one and reverses its retained-earnings closing entry. It does not delete the period's ordinary transactions. Recheck the reports and close again after making the agreed corrections.

Use period management with your accountant. Bulk deletion and business-reset tools are separate maintenance actions; do not rely on a period lock to make those actions safe.
