Products and Services

Keep reusable items with default descriptions, costs, selling prices and taxes for your sales and purchase documents.

Products and services use the same form. A service can be set up just like a physical item; there is no separate service type to select.

Identify the item

Product name or code identifies the item in your catalogue and on document lines. Use the Description for the wording you want copied into quotations, invoices and bills.

Make the unit clear where needed, such as “Consulting — per hour” or “Paper — box of 10”. Document quantities then multiply the cost or price for that unit.

Choose how it is used

  • Buy this product: includes the item in the Products I buy selection used by bills.
  • Sell this product: includes the item in the Products I sell selection used by quotations and invoices. It also shows the selling-price fields on the product form.
  • Both: use both settings for an item you purchase and resell.

These settings control the usual selection lists; they do not record a purchase or a sale.

Cost and selling price

Cost is the default cost to your business. Selling Price is the default amount charged to the customer. Each has linked amounts including and excluding tax, rather than two separate charges.

Choose the applicable taxes before checking the final amounts. Changing the tax selection affects the relationship between the inclusive and exclusive values.

When an item is added to a document, its values provide the starting point. You can adjust the line’s description, quantity and amounts while the document is editable. Changing a product’s default price or cost does not reprice lines already saved on documents.

Cost also matters on sales: publishing an invoice with a positive goods cost records cost of goods sold and reduces inventory value. For a service with no inventory cost to record, leave that cost at zero.

Sales taxes and recoverability

Attach the configured sales taxes that apply to the item. More than one tax can be attached, but the same tax cannot be added twice. These selections are carried into new document lines.

Sales tax is recoverable supplies the recoverability setting on bill lines. When it is No, the tax stays part of the purchase cost rather than being treated as recoverable. This setting does not remove sales tax from the selling price or make the item tax-free.

Can’t find an item on a document?

Check its Buy this product or Sell this product setting. In the selection window, you can also change Show to All products and use Reload to apply the choice. Check any column filters too.

Keep the catalogue current

Edit an existing item when its normal description, cost or price changes. The Free edition limits the number of products and displays a message when that limit is reached.

The catalogue does not hold stock-on-hand quantities. Use the purchase and adjustment workflows to record inventory value.
