Settings

Your personal account settings apply across your businesses. Business settings apply to the business currently selected.

My User Account

Use My Account for your personal details and Change Password for your sign-in password. These are shared across the businesses linked to your user account.

Create a New Business starts a separate set of business records. To work in an existing business, ask one of its users to invite you instead.

Business details

Business Settings holds the business name, email, address, telephone and registration number. The country and base currency are shown for reference and cannot be changed here.

Invoice & Bill Line Items controls whether line prices are displayed including or excluding tax. Check the price labels when working with documents. Customer Credit Period sets the number of days used in customer ageing.

Currencies

The base currency is the business's reporting currency. Add other currencies when you need foreign-currency transactions, and keep their exchange rates current using Update Exchange Rates.

Rates are maintained manually. Check the rate on each transaction where an override is offered; a saved default is only a starting point. Adding foreign currencies is unavailable in the Free edition.

Sales taxes

Define each sales tax with a name, abbreviation, percentage, optional tax number and collection account. The collection account determines where the tax liability is recorded. Choose recoverability with your accountant so purchase taxes are treated correctly.

An existing tax's percentage and recoverability are read-only. If these need to change, set up the appropriate new tax and review which taxes are attached to products and new transactions. Do not assume that editing a name changes a rate.

See Reports for reviewing recorded sales-tax detail by date. Tax setup and reports help maintain the records; they do not determine your registration obligations or file returns.

Invoices, quotations and logo

Invoices & Quotations sets the displayed tax-number label and number, plus the banking details or note shown at the bottom of the documents. This is separate from defining a sales-tax rate.

Next Invoice Number and Next Quotation Number let you align future numbering with your existing records. Choose the next unused number carefully; changing a starting number does not renumber existing documents.

Upload your business logo under Company Logo and check its preview. Use a PNG image no larger than 2 MB. The logo appears on customer-facing documents and emails.

Locations

Use locations to identify branches or other parts of the business within one set of books. Select the appropriate location on entries where offered, then use location filters in reports that support them.

A location is not a separate business or a user-access restriction. Use a separate business when you need separate books.

Users and access

The user list shows who is linked to the current business. Invite User uses the person's name and email to give them access. Existing users gain access through their account; new users receive sign-in information by email.

Invited users have full access to this business.

The invitation screen does not provide a read-only or limited-role choice. Check the email address and invite only people who should have that access.

Inviting users is unavailable in the Free edition. Use Upgrade to view the options offered for the current business; the Dashboard also shows its edition and, where applicable, expiry date.

Reset business data

Business Settings includes options to clear transactions only, transactions with customers and vendors, or all of those plus products. Leave Do not reset selected during ordinary settings changes.

A reset is a start-over operation with no undo in the interface. Review the exact option and retain the records you need before confirming. It is not the way to correct an individual transaction or open a new financial year; use the relevant transaction workflow or accounting periods instead.
