PAYROLL
Payroll Runs & Payslips
A run brings together each employee’s earnings, deductions and company contributions for a payroll date.
Start the next run
Select Monthly, Fortnightly, Weekly or Director on the Payroll screen before starting a new run. Check the Run date and description. The selected date is the accounting date used when you submit the run; it does not schedule a future bank payment or background task.
PiggyZen loads the latest saved payroll entries for each employee in that payroll type. Review them every cycle, particularly hours, bonuses and deductions. The current run list does not offer the video’s “Create run from this” option.
Enter earnings
Each payment line is Rate × Quantity. For a fixed salary, use the salary amount as the rate and 1 as the quantity. For hourly pay, use the hourly rate and hours worked. Separate lines allow different rates for normal time, overtime or other earnings.
Use the plus control to add each completed entry to the list; values still in the entry row are not part of the run. To change an existing line, delete it and add the replacement. Direct editing of its rate or quantity is not currently available.
Deductions and company contributions
Deductions reduce the employee’s net pay. Company Contributions increase the employer’s payroll cost without reducing the employee’s pay. Both need an account and an amount; the description appears on the payslip.
Use amounts calculated by your accountant. PiggyZen totals the entries but does not calculate PAYE or contribution rates.
Review before running
Confirm each employee’s entries to see their gross pay, net pay and company contributions. Net pay is earnings less deductions; company contributions are additional employer costs.
Do not rely on the crossed-out display to omit someone’s pay. In the current version, their existing lines can still be included in the posted run. If you need to exclude an employee with entries, contact support before running payroll.
Run payroll records the payroll costs and amounts owed using the run date. Completed runs open read-only. Review the figures before submitting, and avoid submitting another run for payroll already recorded.
Issue payslips
After completion, choose Email all payslips, or download or email individual payslips. Emailing is a separate action from running payroll. Check the delivery result for any failures.
Payslips show earnings, deductions and company contributions, along with your company details and logo when configured. They do not mean the employee has been paid: record the actual payment separately.
Use View Payroll Runs to inspect a completed run. The list starts with the last six months; widen the dates and use Refresh for older runs. Individual payslips are also available through Manage & Pay Employees.
